About the Position
Summary
As the Planned Giving Coordinator, you will provide essential administrative, operational, and stewardship support to our Planned Giving team. This role is critical to ensuring accurate donor records, timely communication, regulatory compliance, and meaningful engagement with legacy donors who choose to support the ministry through planned gifts.

On-site in Grand Rapids, Michigan office.
Job Duties
What You’ll Do:
Maintain accurate records and database systems for planned gifts, including bequests, charitable gift annuities, and estate distributions. Current Legacy Society consists of 700+ members.
Prepare donor correspondence, gift acknowledgments, charitable gift annuity proposals, and stewardship materials.
Ensure completeness and integrity of donor and gift records, including life-income and estate gifts.
Generate reports on planned giving activity, donor segmentation, bequest pipeline, and legacy society impact.
Lead coordination, marketing, communications, and ongoing stewardship of the ministry’s legacy society platform.
Support preparation of charitable gift annuity agreements, disclosure statements, and related documentation.
Monitor compliance with state regulatory requirements and manage renewal of registrations.
Coordinate annuity payments and support related tax reporting.
Collaborate with Development, Finance, and Marketing teams on planned giving initiatives.
Assist with special projects and administrative needs as assigned.
Requirements
Associate or bachelor’s degree preferred, or equivalent combination of education and relevant experience.
2–5 years of administrative or coordination experience, preferably in nonprofit development, planned giving, finance, legal, or trust administration.
Experience supporting donor stewardship, planned giving programs, and/or estate or gift administration.
Strong attention to detail with experience maintaining databases and ensuring data accuracy; reporting experience preferred.
Excellent written and verbal communication skills, including preparation of donor-facing correspondence.
High level of discretion, professionalism, and confidentiality.
