About the Position

Job Summary

This position manages the Foundation’s core operational functions and supports select fundraising initiatives. The Foundation Specialist assists with the conception, planning, and execution of fundraising events.

Reports to: Director of Development.

Job Duties

Major Responsibilities

Foundation Operations (35%)

  • Maintain current and accurate donor records in Bloomerang
  • Manage processing of all gifts and reconcile all receipts with Finance Manager
  • Generate timely gift acknowledgments
  • Track outstanding pledges and produce pledge reminders
  • Produce reports for special projects, mailings, events, financial reporting, and other related activities 
  • Maintain all electronic and hard copy development files
  • Provide administrative support to Foundation Board of Directors and Foundation Board committees
  • Maintain development calendar
  • Maintain the Director of Development’s calendar as requested
  • Perform other administrative duties as needed

Fundraising and Public Relations (35%):

  • Cultivate relationships with and solicit a small portfolio of prospective individual donors
  • Prepare solicitation packets and track incoming gifts
  • Support the conception and coordination of segmented donor appeals and other mailings
  • Prepare select grant proposals and reports
  • Conduct prospect research and monitor key news outlets for donor-related information
  • Draft news releases, newsletter articles, social media posts, and other communications for publication
  • Help manage development volunteers
  • Assist with the execution of special fundraising projects
  • Assists with the development of and convey an understanding of the Foundation’s structure, work, and impact

Special Events (30%)

  • Assist with all aspects of the planning and execution of fundraising events
  • Coordinate logistics with staff, volunteers, and event vendors
  • Organize and manage event invitation lists
  • Receive, process, and report on all event responses
  • Prepare written communications, including save-the-dates, invitations, acknowledgments, and printed materials
  • Ensure proper tracking of actions, mailings, and event attendance in Bloomerang

Requirements

Required Certifications, Licenses, and Registrations

  • Ability to travel and drive an automobile for off-campus meetings

Knowledge and Critical Skills / Expertise

  • Proficiency in Microsoft Office products required
  • Excellent written and verbal communication skills
  • Demonstrated superior interpersonal and teamwork skills
  • Knowledge and understanding of fundraising strongly desired
  • Experience working with volunteers desired
  • Interest or background in senior services, social services, or healthcare desired
  • Knowledge of Bloomerang or comparable donor management system desired

Essential Physical Functions

  • Ability to sit for up to 2 hours at a time; ability to bend, straighten and walk reasonable distances throughout the workday.
  • Must be able to lift and move up to 10 lbs. and occasionally lift/move up to 25 lbs.
  • Job requires that the employee regularly grasp and/or pick up objects.
  • Job requires expressing ideas by the spoken word.
  • Job regularly requires employee to reach for objects

Experience

  • Associates degree in business or related field required
  • Bachelor’s degree preferred
  • At least five years of successful, progressively responsible
  • administrative support experience required
  • Two to four years of development experience strongly preferred
  • Annual fund experience preferred
  • Grant writing experience preferred
  • Event management experience preferred
